Exhibitors

Registration, Admission

  • Upon receipt of the registration by the organiser, the exhibitor is obliged, subject to acceptance by the organiser, to participate in the trade fair.
  • Deletions, additions and amendments, as well as verbal agreements, are invalid.
  • Registrations are recorded in the order of receipt, and stand spaces are reserved, where possible taking special requests into account, and confirmed upon receipt of the processing fee (within 14 days of invoicing).
  • There is no legal entitlement to a specific stand location.
  • The Organiser decides on admission to participate in the exhibition; admission may be refused without giving reasons.
  • The details of all co-exhibitors must be provided to the organiser. The co-exhibitor fee is based on the desired listing in the exhibitor directory.


Stand hire

  • The rental prices stated on the registration form apply for the duration of the event.
  • Any square meter commenced is rounded up or down to the nearest ½ m². All rental prices
  • are exclusive of taxes and duties. The Organiser reserves the right to change the start date and duration of the fair without the exhibitor being able to derive any claims against the organiser (e.g. withdrawal, compensation).


Stand space

  • The organiser allocates the empty stand space; no further services are included.
  • The published set-up and dismantling times must be strictly adhered to. Any overrun these fixed times will be invoiced separately. (€200.00 per hour or part thereof)
  • The exhibitor is obliged to use only safety-certified, or to adapt all structures to comply with safety regulations. In particular, only non-combustible or flame-retardant impregnated materials may be used in the stand fittings. Proof of the application of flame-retardant coatings and all impregnation must be provided to the authorities by submitting binding certificates in good time. The use of plastics and foam plastics for stand fittings or signage is only permitted if a certificate confirming compliance with the requirements of flammability class B1, smoke emission class Q1 and droplet formation class TR1 is submitted.
  • Please note that, in accordance with the Waste Separation Act, all packaging materials
  • that are not reused after the event must be disposed of and removed by the exhibitor; otherwise, disposal will be carried out at the exhibitor’s expense.
  • Stand cleaning is offered by Wiener Messe und Congress GmbH for a fee. The rented areas must be handed over in a clean and tidy condition.
  • Any sticking or nailing to the walls or floor surfaces is prohibited. In the event of damage, the organiser will hold the exhibitor liable.
  • When designing the stand, consideration must be given to the neighbouring stand.
  • Wiener Messe und Congress GmbH does not provide storage space for cases or similar items. Exhibitors are requested to remove these before the exhibition opens. Important: maximum height of exhibition stands 7.00 m!
  • All exhibition stands will be inspected by a civil engineer after assembly..


Technical stand fittings

Basic installations on the power supply lines may only be carried out by the exhibition centre’s own specialist company. Requirements must be notified in good time. Electricity and other technical connections are available for a flat-rate fee. All electrical equipment, systems and installations must comply with ÖVE regulations and the local and event-specific regulations and requirements..


Delivery & Access

Loading and unloading in the loading zones must be kept to a minimum. The
vehicle must be removed from the loading zone immediately. If this is not done, the driver will be charged an additional fee.


Invoicing and payment terms

  • The administration fee of €450.00 or €240.00 (for stands under 12 m²) excluding VAT is payable upon registration. This fee will be retained by the organiser.
  • Even if the event is cancelled for safety, health or other reasons not caused by the organiser either intentionally or through gross negligence, the administration fee will not be refunded.
  • The stand hire fee will be invoiced in June 2026 and must be paid within 14 days.
  • Any bank charges incurred for international bank transfers must be borne by the exhibitor
  • If the full stand fee has not been paid on time, the organisers may dispose of the space as they see fit. The cancellation fees incurred must be.


Taxes, fees and charges

All taxes, fees and charges are payable by the exhibitor. All prices quoted are net prices.


Withdrawal by the exhibitor

  • for withdrawal after 15 May 2026: 50% of the total amount
  • in the event of cancellation after 15 August 2026: 75% of the total amount
  • in the event of cancellation after 15 September 2026: 100% of the total amount


Withdrawal by the organiser

The organiser is entitled to withdraw from the contract with immediate effect and without a grace period, if:

  • the exhibitor fails to meet their payment obligations on time, or
  • in the meantime, insolvency proceedings, out-of-court settlement proceedings or liquidation proceedings have been initiated or are imminent against the exhibitor, or
  • the exhibits do not, or no longer, correspond to the exhibition theme.


Force majeure, compelling reasons

If the event cannot be held due to force majeure, in particular restrictions caused by epidemics, strikes, political events or other compelling reasons which were neither caused intentionally nor through gross negligence on the part of the organiser, any claims for damages by the exhibitor against the organiser of any kind whatsoever are excluded. The organiser must notify the exhibitor immediately of the cancellation of the trade fair.


Sales regulations

At trade fairs, the sale and/or delivery of goods of any kind, including samples, is prohibited. In the event of a breach, the organiser is entitled to close the stand after a brief prior warning, or to suspend direct sales (direct delivery) and/or the provision of catering services subject to a charge.


Smoking

Please note that smoking is prohibited in all areas of the exhibition.


Liability and compensation

The organiser accepts no liability whatsoever for theft, loss or damage of goods brought in or left behind by the exhibitor or third parties, in particular exhibition and stand equipment. The stand hire fee does not include insurance for items brought into the exhibition stand, the exhibition stand itself, or any other exhibition equipment.

The organiser is under no obligation to take out any insurance. The organiser accepts no liability whatsoever for vehicles parked on the exhibition grounds by the exhibitor, their employees or contractual partners on the exhibition grounds. The exhibitor, for its part, shall be liable for any damage caused to persons or property by the exhibitor, its employees, its contractual partners or by its exhibition items and fittings. During the set-up and dismantling periods, every exhibitor has an increased duty of care regarding the safety of their goods. Valuable and easily movable exhibition items must be removed from the exhibition stand outside the exhibition opening hours (particularly at night) and stored by the exhibitor themselves at their own risk.


Exhibitor advertising at the venue

The display of advertising boards, posters, banners, company signs, advertising slogans and other promotional material, or the distribution of promotional material outside the stand, particularly in the car parks, is permitted only by separate agreement with the organiser and subject to a separate charge.

In the event of unfair competition towards other exhibitors, the organiser is entitled to close the stand immediately, in which case a reduction in the stand hire fee and other costs is excluded.


Special events, demonstrations

All types of special events and demonstrations at the stands or on the exhibition grounds require the organiser’s prior written consent. The organiser is entitled, notwithstanding prior approval, to restrict or prohibit demonstrations that cause noise, dirt, dust, exhaust fumes and the like, or that otherwise disrupt the smooth running of the exhibition. Flashing lights and signage on the exhibition stand are not permitted. The use of gases and vapours (dry ice, etc.) is subject to approval. The halls are equipped with fire alarm systems; the fire brigade will charge the party responsible for any false alarms. Laser equipment must be submitted by the exhibitor to the relevant authorities for approval. Acoustic, audiovisual or lighting demonstrations at the exhibition stand must be organised in such a way that all legal requirements are met. Registrations with AKM must be carried out by the respective companies themselves.
All necessary permits must be presented to the organiser upon request.


Filming and photography

The organiser is granted the right to take photographs and film within the event grounds and to use the images for its own or general publications. The exhibitor waives all objections arising from industrial, in particular copyright and the Unfair Competition Act (UWG).


Cleaning

The organiser shall ensure the cleaning of the site and the aisles in the halls. The cleaning of the stands is the responsibility of the exhibitors. Furthermore, cleaning may also be carried out by Wiener Messe und Congress GmbH at the exhibitor’s expense. Packaging materials and waste that the exhibitor throws into the aisle or leaves on the side will be removed at the exhibitor’s expense. The disposal of hazardous waste must be arranged by the exhibitor themselves.


Breach of the Terms and Conditions of Participation, Breach of the Law

The terms and conditions of participation, rules and legal regulations must be strictly observed.


Data protection

The exhibitor gives their express consent for the personal data provided to the organiser to be processed electronically and used for direct marketing purposes in accordance with legal provisions. By signing the registration form, I consent to receiving electronic mail for advertising purposes from the organiser.

Visitors

  1. MEET is a trade fair and conference. Visitors must be working in the theatre, film, television or events sector.
  2. Visitors to MEET are prohibited from engaging in any form of advertising or selling their own products or services at the fair.
  3. The organisers reserve the right to exclude from MEET anyone who does not agree to these terms and conditions or who breaches them.


In addition to the General Terms and Conditions, the house rules and the acceptance regulations for stand construction of Wiener Messe und Congress GmbH apply.
The place of jurisdiction is Vienna. Subject to printing errors.


Applicable Language

In the event of any discrepancies, ambiguities, or conflicts of interpretation, only the German version of the General Terms and Conditions shall be legally binding. All other language versions are provided for convenience only and shall have no legal effect.
